How to start an employee's evaluation:


  • Log in to LCSO Intranet, and open Employee Evaluations (under Employee menu items)
  • The Direct Reports tab will list employees that you can perform evaluations for.
  • Click on an employee's name to view their prior/active evaluations. From the employee's evaluation page, click on Start Evaluation.





To navigate down the chain of command, if your direct reports have employees under them, click on the # reporting employees link below their job title:



Steps of an evaluation in web app:


  1. Rater selects the evaluation period from dates dropdown. Sick time will autofill from eTimesheets (if the employee has been active in eTimesheets for at least one year), or is completed manually if not. Rating factors are checked Satisfactory/Improvement Needed. Then two free text fields are open for rater comments or commendations/disciplinary notes. Clicking Complete will send to employee.
  2. Employee gets an opportunity to comment, or check boxes regarding agree/disagree with evaluation. The employee will Sign & Complete, which sends the evaluation back to Rater.
  3. Rater gets to see the employee's comments, and Sign & Complete which will send to the Rater's Supervisor (if there are multiple rater supervisors in the chain of command, the Rater gets to select from a dropdown).
  4. Rater's Supervisor reviews the evaluation. When the Rater's Supervisor Sign & Completes the evaluation, it kicks off the pdf document generation, which will email the completed document to the involved parties + HR.

Evaluation Notifications/Reminders:

  • Weekly reminders are sent to Supervisors to alert them of upcoming work anniversaries of their direct reports, or overdue evaluations once if their work anniversary has passed.
  • Once an evaluation has been started for an employee, weekly reminders will be sent to the individual that the evaluation is waiting for (Employee, Rater, or Rater's Supervisor) until the document is complete.

FAQ:


How can I view a history of employee evaluations? 

All evaluations completed via the web app are stored by date range and visible under the employee's evaluation page. This evaluation history is visible to the employee and any of their supervisors up the chain of command.

 


What can I do with old paper-based evaluations?


Human Resources has prior evaluations on file for employees, so supervisors do not have any obligation to upload paper-based evaluations into the web app. However, if it is desired to scan & upload a paper evaluation into the web app so that records can be all accessible in one system, this can be done under an employee's evaluation page. The evaluation period is selected from dropdown, and the file dropped into the upload zone. 


Can I add attachments to evaluations?

Yes. If an attachment needs to be added by the Rater, Employee, or Rater's Supervisor, use the upload attachment zone near the bottom of an active evaluation. Attachments must be of .pdf filetype, and are appended to the evaluation pdf when it is sent to HR upon completion.


I have an employee who should/should not be listed as my direct report for evaluations. Who manages that list of employees?
